Exid ("we", "our", or "us") operates the Exid platform, which provides AI-led exit interview services. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

1. Information We Collect

We collect information you provide directly to us, including:

Account information — name and work email address when you create an account.
Company information — organisation name and settings you configure within the platform.
Employee interview data — voice recordings and transcripts from exit interviews conducted through our platform. By default these are processed so that individual responses are not shown to the employing organisation next to the employee's name — see Section 3.
Usage data — how you interact with the platform, including pages visited and features used.

2. How We Use Your Information

To provide and operate the Exid platform.
To generate combined insights and summaries from interview data.
To measure how interviews perform, for example how long they take, how many follow-up questions are asked and how far people get, using counts and durations only and never the content of what was said. Account owners see these only as combined figures.
To send transactional emails (e.g. interview invitations, confirmations).
To respond to your support requests.
To comply with legal obligations.

We do not use interview recordings or transcripts to train AI models.

3. Confidentiality of Interview Responses

Exid interviews are confidential, not anonymous: the employing organisation sets each interview up and invites a named employee, so we know whose interview it is. By default, what an employee says is not shown to the employing organisation next to their name. Leadership and HR see only combined themes, sentiment and trends across many interviews. Combined results appear only once at least five interviews are complete, and a department breakdown only once that department has at least five. Because interview data is personal data, employees keep their data protection rights (see Section 7).

Your organisation's administrator can choose an identified mode for interviews that start afterwards, in which responses are shown attributed to the employee's name. Before choosing it, the administrator must confirm that employees will be told. Each interview keeps the mode it started with: changing the setting never changes how an interview that has already started is treated. Before every interview, the employee is shown which mode applies and the services that process their data, and is asked to agree. We record when they agreed and which version of that text they saw. Accounts on the free trial are an exception to the default: because a trial is limited to one interview, its results are shown to the account owner in full, by name, so they can evaluate the Service, and the employee is told this before they begin.

4. Data Sharing

We do not sell your personal data. We may share data with:

Sub-processors — trusted third-party services (e.g. cloud hosting, payment processors, AI providers) under appropriate data processing agreements.
Legal authorities — where required by applicable law or valid legal process.

5. Data Retention

We retain account data for as long as your account is active. You can download a copy of your data, and permanently delete your account together with all employees, interviews, templates and settings, yourself under Company Settings → Your data. You can also ask us to do it by contacting hello@exid.ai.

After a deletion, copies held in our backups are overwritten within 30 days. Billing records are kept by our payment provider, as tax and accounting rules require. Employees who took part in an interview should make deletion or access requests to their employer, who controls that data.

6. Security

We use industry-standard security measures including encryption in transit (TLS) and access controls to protect your data. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security.

7. Your Rights

Depending on your location, you may have rights to access, correct, delete, or port your personal data, or to object to certain processing. To exercise any of these rights, please contact us at hello@exid.ai.

8. Cookies

We use strictly necessary cookies to maintain your session. We do not use advertising or tracking cookies.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by updating the date at the top of this page and, where appropriate, by email.
